Most NDIS platforms charge per participant. At 25 participants the big ones want $200/mo — a model that punishes providers for growing. CareClaim is flat-rate. Pick a tier for 10, 40 or 150 participants; every feature is included.

The pay engine has 567 automated tests covering every schedule, penalty rate, overtime threshold, midnight split, public holiday by state, and the July 1 rate changeover. It handles the edge cases most payroll systems get wrong: the 10-hour rest-break penalty, broken-shift allowances, the difference between Schedule B and D overtime thresholds. You can verify the numbers against your own real fortnight during the 14-day free trial before paying anything.
Nothing breaks. We'll send a note when you cross the cap and ask you to upgrade at the start of the next billing cycle. Soft caps, not hard locks.
It calculates what you owe under SCHADS and pushes the result to Xero as bills. If you already use Xero for payroll, CareClaim makes sure the numbers going in are right. If you don't, we can talk about whether direct payroll makes sense for your setup.
When the NDIA publishes new rates each July 1, we load them centrally for everyone on CareClaim. You don't upload anything. Both SCHADS and NDIS price-guide rates are versioned independently, so claims always use the rates that were live when the shift happened.
All data stays in Sydney — database, file storage and the application itself run from Australian datacentres, matching the NDIA Cyber Clearance requirements on data residency. On top of that: encrypted in transit and at rest, every action audit-logged, and role-based access with row-level tenant isolation so your data is structurally separated from other providers, not just filtered out by a query.
OAuth connect, then map your wage expense account once. After that, finalised pay runs sync as bills and submitted claims sync as invoices, automatically. No copying numbers between tabs.
No lock-in. Cancel anytime from settings. Export your full data (shifts, pay runs, claims, audit log) as CSV before you go. If we ever wind down, we'll give 90 days notice and the data export tool stays on.
